What does the Red circle icon mean on a folder and why cant I open it?
- - A folder with a key on it indicate the folder is encrypted
- - A folder with a key and two people on it indicate the folder is encrypted and shared
- - A folder with a key and two people crossed out in red signify that you do not currently have access to that folder. It is possible you have been removed from it by the moderator or are currently waiting for the moderator to grant you access.
▶ Remember SID Password
What does “Remember SID Password” do?
Remember SID Password is a setting that will tell VIIVO to cache the password to your VIIVO Dropbox secure ID. If this option is set to Off, VIIVO will ask you for your password every time it starts up. If this option is set to On, VIIVO will open and decrypt files automatically.


▶ Local Storage
How does Local Storage work?
You may choose the amount of local storage that VIIVO can use to cache files. All VIIVO encrypted files are cached encrypted. Any unencrypted Dropbox files you access via VIIVO will be cached unencrypted. Files are always retrieved from cache first to save on bandwidth costs.
▶ PIN Code
What is a PIN code?
For added security, Viivo lets you secure your app by requiring a four-digit passcode be entered any time the app is launched. This way, you know you’re safe even if your smartphone or tablet fall into the wrong hands.
To set a passcode on your iOS Device:
Step 1: Tap the Settings tab on the bottom right of the screen
Step 2: Scroll down until you see Passcode Lock
Step 3: Tap on Passcode Lock and enter and confirm your new passcode
Once you set your passcode, every time you launch or return to the Viivo app, you are required to enter your new passcode.

How do Favorites Work?
Favorites work exactly like Dropbox Favorites
To ensure you have the latest version of a file for offline use, you must mark the file as a favorite. Doing so:
- - Adds the file to the app’s Favorites tab for easy access (like a bookmark)
- - Saves the encrypted version of the file to your mobile device for offline viewing.
- - Checks for updated versions of all favorite files when the favorites icon in the app is tapped. If a new version is available, Viivo downloads it.
To Favorite a file:
Step 1: Open it in Viivo and wait for the file to decrypt

Step 2: Click the “star” icon in the upper right corner. The Favorite will now appear in the Favorites Tab

It will also have a badge on it signifying it’s now a favorite and is available for offline viewing

What are Notifications?
Notifications are actions that require your attention. They will show up in the Notifications area of your Viivo Manager.

Notifications represent other Viivo users requesting decryption access to shares they have been invited to via Dropbox. Viivo’s encryption engine monitors your Dropbox shares for collaborators that are using Viivo.
If you are joining encrypted Dropbox shares, you will see Notifications from Viivo explaining which shares you were Allowed into or Denied from.
If you are encrypting a Dropbox share with Viivo, you will see Notifications from others requesting to be Allowed access.

▶ Securing Existing Shares
How do I secure an existing Dropbox folder?
Securing an existing Dropbox share can be done in six steps without having to re-invite everyone. Note: If the data has already been put in Dropbox you’ve lost some measure of security as these files will remain in Dropbox backups and “Previous Versions” of files unless you take additional steps to purge them.
Step 1: You must move the content temporarily out of the Dropbox Share. This means everyone will temporarily see the files disappear. Select the Share you wish to encrypt (Share1 below).

Step 2: Next, move the files to a temporary folder (outside of Dropbox folder)

Step 3: Use the Dropbox Web Application to select the Share you want to Encrypt

Step 4: Choose to move the Share into your Viivo_Admin

Step 5: Wait for the Share to show up in your Viivo folder (this might take up to 3 minutes)

Step 6: Move the documents you relocated in Step 2 into the Viivo\Share1 Folder

How do I share VIIVO encrypted data?
Sharing Viivo encrypted data uses the same process as Dropbox sharing:
Step 1: Login to the Dropbox Website and locate the Folder you wish to share. Your Viivo protected data will be in the VIIVO_Admin Folder

Step 2: Open the Viivo_Admin and select the Folder you wish to share

Step 2: Specify your invitees and Dropbox will send the invitations and configure the Folder to be a Share
The Viivo Manager will show the new share has been encrypted successfully

As collaborators join the share and install their own copy of Viivo you will begin to see requests for Access in the Notifications area that you will be required to Allow or Deny
▶ Securing Existing Folders
How do I move data on my hard drive securely to Dropbox?
A. Securing Local Folders
Securing folders for migration to the Dropbox Cloud can be done a couple of ways. The simplest method is to right-click a File or Folder and choose “Move to my Viivo folder”.

This will move (not copy) the selected into your local Viivo folder. Once it has been moved, Viivo will encrypt this data and create an encrypted copy in your Dropbox\Viivo_Admin folder. These files can then be decrypted by another device or computer running Viivo.
You may also Copy/Paste or Click and Drag files and folders into your Viivo folder:

B. Securing a Folder Already in Dropbox
Note: If the data has already been put in Dropbox you’ve lost some measure of security as these files will remain in Dropbox backups and “Previous Versions” of files unless you take additional steps to purge them.
To Viivo encrypt a Folder (To encrypt an Existing Share see: Securing Existing Shares) that is already in Dropbox you have a couple of options. Similar to encrypting a local folder, you can right-click and choose to “Move to my Viivo folder.”

Alternatively, you can also Cut / Paste or Move the folder out of Dropbox into your Viivo Dropbox folder. The Viivo engine will automatically put encrypted versions (.viivo) of your files back in Dropbox.
▶ Changing Password
How do I change my Master Password?
Step 1: Locate Viivo in your system tray

Step 2: Right Click and Select “Viivo Manager”

Step 3: Navigate to the General tab and choose “Change Password…”

Step 4: Enter your new password and click “OK”
Make sure you’re being safe in the Cloud! Never share your Viivo dropbox password with anyone, and make sure you’re using a complicated password.
